Q: How is membership in BI counted?
A: Membership in BI is typically determined by whether a person has an active subscription that grants membership at one or more facilities. By using the setting "useMembershipStatisticsFlag," you can instead use a checkbox on the product where we can choose whether the product should be counted in the statistics or not.
A person counts as a new member in BI the first day they have a subscription which counts as a membership following the rule above.
Q: Which memberships are included in "members UB"?
A: In this figure, all active members are counted by definition, excluding those who cease to be members during the selected period. It also includes frozen subscriptions that thaw during the selected period, thus excluding members whose freeze extends beyond the period.

Bookings
Q: What bookings can we see in the statistics?
A: The statistics show data for completed bookings and activities. Future group activities are not shown, only those that have already been completed, and when it comes to services, those performed are shown regardless of whether they have been invoiced or not.

General
Q: How far back in time can we see data in BI?
A: At the monthly level, we can see the current year plus two years back, which means we can go back and see data for, e.g., January two years earlier. At the daily level, we can only see the current month and one month back, as well as the same period from the previous year. This is to keep the amount of data at a reasonable level cost-wise and because it's the most relevant for this tool.
Q: What is included in sales?
A: In sales statistics, the total revenue are included for all accounts flagged as revenue accounts.
Q: What bookings can we see in the statistics?

Q: Can we control who has access to the reports?
A: Yes, we can. Users are allocated among personnel in BRP. Only the personnel you grant access to can see BI, and besides that, you can also choose which reports the person should have access to.
Q: What decides what data a person sees in Embedded BI?
A: There are 2 main things that decides this.
Which facilities the person has access to in BRP.
Which reports the person has access to.
Q: How often are data refreshed in Embedded BI?
A: Sync happens once every day during the night. This means that if you access a report in the morning you should have data up until and including yesterday.
Q: How does date selection and KPI objects work in Embedded BI?
A: KPI (Key performance indicators) are objects used throughout the reports in Embedded BI that displays one number, usually displayed as large text to the left in the object. See below example where we see the KPI “Visits”. Depending on how we make date selections this number will change accordingly.
In below example year month has been set to October 2024 (2024-10). The large number to the left in the KPI object displays 13, this is the number of visits for October 2024. The smaller raised number to the right (6) displays number of visits the same period but last year. In the “Center report” you will see how dates are selected current period vs previous period (see object to the right below).
...
In below example you can see how dates are selected when choosing last seven days in the dimension “Show period”.
...
Please note! that this logic applies throughout the reports in terms of measures and measures last year (LY).

Members

A person counts as a new member in BI the first day they have a subscription which counts as a membership following the rule above. For more detailed information about the different measures in Embedded BI please visit BI - Measures.
Q: What does active member mean?
A: Active means that a member has visited the facility on any day during the selected period, as shown in the example below:
You visit the facility on January in week 1, 3, and 5 in January.
If you choose week 1 as the period, you are active.
...
If you choose January as the period, you are active.
If you choose January 6-15 12 as the period, you are inactive .
Q: What decides what data a person sees in Embedded BI?
A: There are 2 main things that decides this.
...
Which facilities the person has access to in BRP.
...
(assuming those dates are within week 2).
Be caution about selected time period when looking on the KPI “active member”. Looking at a period of for example 1 month is in this case more relevant than just looking at one specific date.
Q: How is the average lifespan of memberships effected by the BRP setup?
A: There is a setting called “maxDaysBetweenSubs”.
This setting rules how many days we allow between memberships.
For example, if this setting is set to 30 days, any member who had a membership that ends, and then signs a new membership any of the 30 days after end date of their previous membership, wont be counted as a new member and instead extends their lifespan of the previous membership.
Q: What determines which facility a member belongs to?
A: There are settings in BRP that determines which facility a member belongs to. A member always belongs to one facility even though the person potentially can access multiple facilities depending on type of subscription. A persons affiliation to facility is determined by the persons most recent subscription (if the subscription gives membership). If setting “moveFacilitiesForAllSubscriptions” is used, it will move persons to facility of most recent subscription regardless of if it gives membership or not.
Q: Is there a difference between subscription statistics in BRP Cloud and Member statistics in Embedded BI?
Yes there is. You cannot fully compare for example outgoing balance of subscriptions in BRP with outgoing balance of members. In BI Membership report, to be counted as a member in any facility, the products must have the “membershipstatistics” column enabled (set as 1). Please note that even if you compare individual subscriptions where the “membershipstatistics” is enabled we can still see differences in statistics due to how IB/OB members are calculated in Embedded BI. Please see details here: https://brpsystems.atlassian.net/wiki/spaces/DOK22/pages/4604362766/BI+-+Measures#Members
If for example a person freezes his/her subscription the person will not be included in members statistics in BI but still included in Subscription statistics in BRP.
