Bookings

Q: What bookings can we see in the statistics?

A: The statistics show data for completed bookings and activities. Future group activities are not shown, only those that have already been completed, and when it comes to services, those performed are shown regardless of whether they have been invoiced or not.

General

Q: How far back in time can we see data in BI?

A: At the monthly level, we can see the current year plus two years back, which means we can go back and see data for, e.g., January two years earlier. At the daily level, we can only see the current month and one month back, as well as the same period from the previous year. This is to keep the amount of data at a reasonable level cost-wise and because it's the most relevant for this tool.

Q: Can we control who has access to the reports?

A: Yes, we can. Users are allocated among personnel in BRP. Only the personnel you grant access to can see BI, and besides that, you can also choose which reports the person should have access to.

Q: What decides what data a person sees in Embedded BI?

A: There are 2 main things that decides this.

  1. Which facilities the person has access to in BRP.

  2. Which reports the person has access to.

Members

Q: How is membership in BI counted?

A: Membership in BI is typically determined by whether a person has an active subscription that grants membership at one or more facilities. By using the setting "useMembershipStatisticsFlag," you can instead use a checkbox on the product where we can choose whether the product should be counted in the statistics or not.
A person counts as a new member in BI the first day they have a subscription which counts as a membership following the rule above. For more detailed information about the different measures in Embedded BI please visit BI - Measures.

Q: What does active member mean?

A: Active means that a member has visited the facility on any day during the selected period, as shown in the example below:

You visit the facility in week 1, 3, and 5 in January.

If you choose week 1 as the period, you are active.

If you choose week 2 as the period, you are inactive.

If you choose January as the period, you are active.

If you choose January 6-12 as the period, you are inactive (assuming those dates are within week 2).

Be caution about selected time period when looking on the KPI “active member”. Looking at a period of for example 1 month is in this case more relevant than just looking at one specific date.

Q: How is the average lifespan of memberships effected by the BRP setup?

A: There is a setting called “maxDaysBetweenSubs”.
This setting rules how many days we allow between memberships.
For example, if this setting is set to 30 days, any member who had a membership that ends, and then signs a new membership any of the 30 days after end date of their previous membership, wont be counted as a new member and instead extends their lifespan of the previous membership.

Q: What determines which facility a member belongs to?

A: There are settings in BRP that determines which facility a member belongs to. A member always belongs to one facility even though the person potentially can access multiple facilities depending on type of subscription. A persons affiliation to facility is determined by the persons most recent subscription (if the subscription gives membership). If setting “moveFacilitiesForAllSubscriptions” is used, it will move persons to facility of most recent subscription regardless of if it gives membership or not.

Sales

Q: What is included in sales?

A: In sales statistics, the total revenue are included for all accounts flagged as revenue accounts.
