When scheduling a class, you start from a class product containing information such as the activity’s name, resource requirements, number of spots, etc.
How to Schedule a Class
Close any open booking panel.
Select a specific time and resource in the booking view.
Choose “Class”
As the “orderer”, select the person responsible for scheduling the class (likely yourself).
If this is the first in a series of recurring group activities, check “Recurring.” Then choose which weekdays the activity will repeat at the selected time and specify how long it will continue.
Complete the booking by proceeding through all dialog steps.
Close the order panel, so the order you just created contains only one series of group activities. This makes it easier to cancel or modify an entire series of group activities.
Make Changes to a Scheduled Class
Changing the Total Number of Spots and Drop-In Spots on the Class Product
BRP Configuration → Products → Products
The total number of spots and drop-in spots are modified on the Class tab of the product. This change means that every class session scheduled using this product will adopt the new numbers.
Changing the Number of Spots for a Single class
If you do not want to use the total number of spots and drop-in spots specified on the class product, enable the setting:
Configuration → Settings → Settings: Enter number for classes when booking (selectNumberForGroupActivity)
When this setting is active, you can specify these values yourself during the scheduling of group activities.
The first time you schedule the class product on a certain resource, the total number of spots and drop-in spots from the product are displayed.
The next time you schedule the same product on that resource, the most recently entered values appear, and these can be edited.
To change the number of spots for an existing class:
Open the relevant booking/class session.
Go to the Basic Information tab.
In the Number of Spots field, enter the desired number.
Confirm your change by clicking OK.
Changing a Recurring Booking
This feature can be used for any recurring booking where the product is not performed twice at the same time (e.g., two massages running simultaneously). It is most commonly used for Class type bookings.
Select the booking in the Resource View.
Right-click and choose “Change Recurrence.”
Mark the type of recurrence to be changed (see below).
Deselect (uncheck) any bookings in the list you do not want changed.
Verify changes by clicking Execute, or cancel by clicking Cancel.
Properties related to the number of participants in a class—such as the total spots and drop-in spots—can be changed via the recurring booking feature by using the “Specify Number of Spots” button.
If you extend the interval to create new bookings, they use the participant counts from the product.
When making changes, the system checks resources the same way it does during regular scheduling/booking—i.e., it ensures all required resources for the service are available and scheduled.
Status Indicators in the Recurrence List
Unchanged
The booking is not affected by any changes.Deleted
The booking is marked in red and will be removed.New
The booking is marked in green and will be newly created.Moved
The booking is marked in blue, indicating that the recurrence interval, time, and/or weekdays are changing.Not Moveable
The booking is marked in cerise (pink) and cannot be moved. Only resource changes are allowed.
Choose not to create bookings in the previous date interval
If the date interval in "Change repetition" is extended, before and/or after the previous interval, the user can choose if the changes made should be applied to the full new interval, or only to the added days.
Explanation of the Fields in “Change Repetition”
Interval
Checking this box changes the date interval for the recurrence. The displayed start/end dates are those of the current recurrence. Enter the interval over which the recurrence should run.
Repeat every X week
Checking this box changes the weekly interval value. The initial value is 1, meaning the booking recurs every week. A value of 2 means every other week, 3 means every third week, etc.
Weekdays
Checking this box indicates the booking should be moved to other weekdays. Initially, the already-booked weekdays are marked.
Uncheck any weekday if the booking should no longer apply.
Check any weekday where the booking should now apply.
Change Time
Clicking this button allows you to change the time (clock/starting time) of the bookings.
Change resource
Clicking this button allows you to change a resource. If the class has multiple resource requirements, a field for each requirement is shown so you can update them as needed.
Remove a Recurring Booking
Click on the booking and then on the three-dot menu.
Select "Change Repetition."
Uncheck the day(s) for which you want the booking removed.
The status changes to “Removed.”
Select all or some of the bookings that should be removed.
