Description

Customer number:

A unique number used as the customer ID. It is automatically assigned by the system when the person is saved for the first time. The value can also be set manually, which is typically useful when pre-printed loyalty cards or similar are used.

Card number:

Number of the code carrier (plastic card or wristband). If the person has a card or similar that will be used for access, enter the card number here.

Personal number:

Enter the person's personal identification number if it is relevant to know. It is not possible to add a person with a personal identification number that already exists in the contact register.

First name:

The person’s first name.

Last name:

The person’s last name.

Profile image:

If there is a photo of the person, it is displayed here on the right. If you have a camera connected to the computer, you can take a photo by clicking "Camera." By clicking "Import," it is possible to upload an image file.

Birth date:

The person's date of birth. It is set automatically if the personal identification number is provided.

Gender:

Specify the person's gender: Woman, Man, or Other. This is for example used in selection, statistics, and gender verification at entry points.

Mobile:

The person's mobile phone number. The number is also used if you send SMS messages to the person.

Work phone:

The person's work phone number.

Home phone:

The person's home phone number.

E-mail:

The email address used to send emails to the person. There is a setting that determines whether a person with an email already existing in the contact registry can be added.

Address:

The address used to send mail to the person.

Invoice address:

If the billing address differs from the regular address, the billing address should be entered here.

Organisation:

If the person belongs to an organization, it is set here. You can search for and select an organization. If the organization does not exist, you can choose to create a new one after performing a search. You can also view the selected organization or deselect it so that the person no longer belongs to any organization.

Job title:

If the person belongs to an organization, you can enter their job title within the organization here.

Terms of agreement for registration:

The date when the customer approved the registration of their personal data.

Consents:

Click on the “pen icon” to select the consents given by the customer. The default value for the standard consents is determined by the settings "Default value for allowing mass mailing of letters, emails, and SMS." The customer's wishes cannot be denied in accordance with GDPR.

Booking reminders:

Check this box if the person should be able to receive booking reminders for service bookings.

Account manager:

Select the person responsible for this customer from the list of employees previously registered.

Sales status:

Select from the sales statuses previously registered under BRP Configuration → Persons → Sales Status.

Benefits level:

Select from the benefit statuses previously registered under BRP Configuration → Persons → Benefits level.

Category:

Select from the person categories previously registered under BRP Configuration → Persons → Person Categories. A person can belong to only one category.

Groups:

Select from the person groups previously registered under BRP Configuration → Persons → Person Groups. A person can belong to multiple person groups.

Region:

Used to define geographic regions that are then used to group customers. Select from the regions previously registered under BRP Configuration → Persons → Regions.

Marketing activities:

A marketing activity is a customer contact, with the type specifying the nature of the contact, such as incoming/outgoing calls, visits, or inbound/outbound mail.

What do the icons under marketing activities mean?

  • Plus sign (New): Creates a new marketing activity.

  • Trash can (Delete): Removes the selected marketing activity.

  • Envelope (Email): Opens the email function for creating/sending an email. The sent email creates a marketing activity.

  • Mobile phone (SMS): Opens the SMS function for creating/sending an SMS. The sent SMS creates a marketing activity.

  • Bell (Push notification): Opens the push notification function for creating/sending a push notification. The sent notification creates a marketing activity.

  • Paper (Copy to clipboard): Copies the selected status row.

Internal message:

A message indicating that there is a customer message displayed for staff when the customer is searched for in BRP, such as when the person's profile card is opened, during manual check-in in the check-in window, or when staff book the customer into BRP.

The setting "Hide internal message" prevents the message from being displayed on the profile card unless the user actively chooses to view the content.

Notes:

Only visible here in the message tab. If "Only visible to me" is selected, the text will only be visible to the person who entered it.

Message:

A message indicating that there is a customer message will be displayed to staff when the customer is searched in BRP, for example, when the person's profile is opened, in the entry window when the customer checks in, and when staff books the customer into BRP.
If you have a customer kiosk, the customer will receive a notification that there is a message when they log in to the kiosk. If you use web booking, the customer can also read the message on "My Page."

When staff or the customer opens the customer message, an overview of all unread messages will appear. If the customer does not mark the opened message as read, the notification will reappear, and the message will remain. Additionally, the "Messages" tab on the profile card will turn red.

Customer type:

Select a customer type that have already been configured in Configuration > Persons > Customer type. More about customer types here: https://brpsystems.atlassian.net/wiki/x/BQCM-/

Customer type ends:

Select a date for when the customer type expires, for example the “valid until” date on the student card.

Price list:

Select a preconfigured price list if the customer should get other prices when purchasing products.

Expires:

Select a date for when the person should no longer have access to this price list.

Discount [%]:

Enter the discount (in percentage) the customer should get when purchasing products.

Discount reason:

Enter the reason for the discount.

Number of no-shows:

This shows the number of no-shows (not showing up to group activities on time) the person has. If the person has no-shows, the button next to it will show you a list of which classes the person missed.

Suspended:

Check this box if the person should be suspended (not allowed to book classes). It can also be checked automatically if your system is set up to handle no-shows automatically.

Until:

The date to which the person should be suspended from booking.

Reason:

The reason why the person has been suspended from booking.

Subscriptions:

Shows all active subscriptions. Select the “Show inactive” checkbox to see all previous subscriptions, such as expired or cancelled ones.

Value cards:

Shows all active value cards. Select the “Show inactive” checkbox to see all previous value cards, such as expired ones.

Override antipassback:

Check this box if there should be no limit for how many times a person can enter using a data carrier (card/wristband). This is only relevant if your readers are configured to not allow a person to scan their card/wristband several times (to prevent them from letting other people in).

Visits:

Displays the person's visits to the facility within the specified date range, i.e., all registrations of their card/wristband on the reader, or entrances using the Mobility app.

Bookings:

Displays the person's bookings within the specified date range. Click on the arrown next to interval to get the options to search for all or future bookings.

'Trash can' button under Bookings:

Deletes the selected booking.

'Show order' button under Bookings:

Opens the selected order that contains the booking.

‘Booking history’ button:

Detailed view of changes that has been done to the bookings.

‘Person with clock’ button:

Opens the booking in Resource Planner.

‘Paper icon’ button:

Copy

Previous purchases:

Displays all financial transactions associated with the current customer. This includes, for example, all sales from the cash register linked to the customer, regardless of whether the sale was paid immediately, invoiced, or added to the customer account. The same information is shown in the cash register under the "Refunds & Previous Purchases" tab.

Transactions:

Displays all transactions made on the customer's account.

Debt:

Displays the current balance of the customer's account. Click "Invoice" to create an invoice for the customer's debt.

Available credit:

Displays the available credit the customer can use, i.e., Credit Limit minus Debt.

Credit limit:

This is where you specify the maximum total debt the customer is allowed to have.

Invoice address customer account:

Specify the address to be used when invoicing the customer account.

Displays the date the mandate was created.

Direct debit payer number:

Displays the mandate paying number.

Created:

Displays “Yes” if the mandate is approved, and “No” if it isn’t.

Total debt:

Displays the total amount left to pay of the customer’s invoices.

Invoices:

Displays all invoices created for this person. Without clicking on the invoice you can view invoice number, when the invoice was created, due date, date the invoice was paid, total amount invoiced, amount left to pay of the invoice and which company sent the invoice.

Invoice days:

 

No invoice fee:

Checkbox to avoid invoice fees for this person.

Invoice distribution:

Set standard invoice distribution for this person. E-mail is standard if nothing else is chosen.

E-mail for invoice:

Enter e-mail address that invoices should be sent to (if different from the e-mail address on the Person tab)

Description of the buttons under Invoices:

  • Printer icon: Create report of the selected invoice.

  • Autogiro: Generates a direct debit file containing the selected unpaid invoices for payers with a valid direct debit mandate, provided they are not already pending a response.

  • Send: Send the invoice.

  • Pay: Marks the selected invoice as paid (in full or partially) using one of the payment methods approved for invoice payments. This can be done if the invoice was paid outside of BRP.

  • Pair up: Pay the selected invoice with another one.

  • Credit: Credits the selected invoice.

  • Claim loss: Resets the selected invoice and records it as a loss.

  • Accounts receivable ledger: The customer ledger is used to extract the current ledger as of a selected date in the past, displaying all invoices that were unpaid on the chosen date.

  • Paper icon: Copies the selected row.

Signatures tab

Click on a signature to see detailed information about what was signed.

Displays all signatures (contracts signed by this person) and the date it was created, date it was signed, for which facility and what type of signature it was.

Loyalty tab

This tab is only shown if you have enabled a Loyalty program. Read more about what is displayed in this tab here.

Customer journal:

Displays all customer journal notes created for this person. It is also possible to create customer journal notes in this tab. Click on + (plus sign) and enter the notes. These types of notes can also be added on a service booking and will show up in this tab. Read more about how to do that here.

Documents:

Displays all documents imported in this specific tab. It is also possible to import documents by clicking on the “Import” button from this tab. This could for example be a training plan or other documents related to the customer journal.

Created:

The date, time and name of the person who created this profile.

Updated:

The date, time and name of the person who most recently updated this profile.

Documents:

Displays all documents that has ever been imported to the profile. If contracts have been signed digitally, they can be viewed here by clicking on a document.

Most recent signature:

Displays the date and time of the most recent signature signed by this person.

History:

Displays all changes that have been done to this profile, and who made the changes.

Own tab

This tab displays any own defined fields that have been added in BRP Configuration → Persons → Own defined field, with the “Used on person” checkbox enabled.
