Send request to instructors

When Week template is in Facility Planning state, new action "Request instructors" is available.

The button is visible only for employees with proper access role. Check Access rights and settings for more details

The request will be sent to all facilities in the period at once.


Errors

There are 2 types of possible errors:

  • If the room is not specified for each class in each week template in the period.

  • If there are classes with products which have dynamic time and this time is not specified.


Flow

If all rooms for each class in each week template are set and class duration is specified for all products with dynamic length, then the wizard dialog will be shown: 

 

  • Assigned instructors - check this if you already assigned instructors for some classes. In that case it will add them to the recipient list.

  • Compatible instructors - add all compatible instructors for classes in week templates.

  • Reply till - this parameter will be set for the period as latest reply date for instructors.

  • Resources - list of recipients.

  • Title - Email title

  • Email Message - It is possible to modify the Email messagethat will be sent to instructors. Also, they will receive a link to Instructor requests page .

  • Sms Message - It is possible to modify the SMS that will be sent to instructors. Also, they will receive a link to Instructor requests page .

  • Send SMS - should SMS be sent ( check Message templates - Class Manager )

  • Send email - should emails be sent ( check Message templates - Class Manager )

 

After complete button will be pressed - emails and SMS to selected instructors will be sent.

 

Each instructor has to fill his working expectations at the Instructor requests page
