Overview

A view determines how the booking schedule is displayed in BRP Resource Planner – for example, which resources are shown in the view and which time slots are visible. If you have many resources, it is advisable to create several views to more easily see available times. For instance, you might have one view for masseurs, one for skin therapists, one for smaller conference rooms, and one for larger conference rooms.

To avoid an endless number of views that become difficult to navigate, it is wise to group resources according to their time-related booking characteristics. In a selected view, you can then see which resources are available and which services can be booked.


Create a Resource View

  1. Go to Configuration > Staff and resources > Views.
    A view consists of a set of resources to be displayed together. Typically, you choose to create a view with all resources of a certain type, but sometimes a mixed view is desired (e.g., combining therapists and treatment rooms).

  2. Click the “+” (plus) icon to create a new view.

  3. Give the view a name, for example, "1. Rooms".

  4. Enter the start time and end time – for instance, the facility’s earliest opening time and latest closing time. The resource view will display the bookings for the resources between these times.

  5. Choose which resources will be displayed in the view by clicking the pencil icon. A new dialog titled "Resources" opens.

    • From the left-hand list labeled "Select from," choose the resources to include in the view.

    • Transfer the selected resources to the right-hand list labeled "Selected" by marking them and clicking “Add” (or using the arrow button).

    • To remove resources from the view, select them in the right-hand list and click “Delete” (or use the arrow to move them back to the left-hand list).

    • The resource will then be removed from the selected view and can be re-added later if desired.

  6. Finish by clicking "OK."

Tip: Start the view’s name with a number (e.g., "1. Rooms") to control the order in which views are displayed. This also makes it clearer which shortcut key to use for switching views.


Explanation of the Fields in a Resource View

  • Name:
    The name of the View.

  • Facility:
    Specify which facility the bookings created in this view should be linked to. This applies only to bookings that are not part of an already open order. The view’s facility also controls which resources are bookable. It is permissible to display resources from other facilities, but only resources belonging to the view’s facility can be booked.

  • Interval:
    The time range shown in the view. It should be relevant to the resource – that is, adapted to the time the resource is available for booking. The start time determines from which time the view displays the resource’s bookings, and the end time determines until which time they are displayed.

  • Resolution (min):
    Determines the smallest selectable time interval in the resource view (usually 15 minutes). If service bookings are always made starting on the hour, a resolution of 60 minutes might be appropriate.

  • Column Width:
    Specifies how wide the columns should be for a good presentation. This may be increased if only a few resources are displayed at once.

  • Column Width Week Layout:
    Determines the width of each resource column when using the "Week, Resource" layout. It should be adjusted so that the resource's schedule from Monday to Sunday can be viewed without horizontal scrolling.

  • Time grid:
    You can specify hours as a semicolon-separated list (e.g., 10;14;18). In the "Week" layout, these times are shown as thin lines if set.

  • Distance Between Grid Lines:
    The number of minutes between timeline markers.

  • Adjust Grid Start Time to Whole Hour:
    If selected, the first grid line in the booking schedule will start on the full hour.

  • Show All:
    Displays resources that are not scheduled for the current day as well. (Note: These resources are not bookable.)

  • Resource Booking Template:
    This is adjusted by BRP so that the desired booking information is shown in the resource view.

  • Resources:
    Choose which resources to display in this booking view. They will be shown in the same order as selected here.

    • To add or remove resources from the view, click the edit button to the right of the list.

    • Use the up/down buttons to move resources in the list.
      Note: Only resources that belong to the same facility as the view are bookable.

  • Display on Internet:
    Enables the view to be displayed in the online booking system (provided that online booking is used and "Display of schedule" is enabled).
