Overview
Configuration > Staff and Resources > Resource Labels
Resource labels are used to define a predetermined selection of resources. They can be used both to designate a group of resources when registering a product’s resource requirements and to filter resources in planning lists.
It is perfectly acceptable to mix resource types within a resource label. For example, you might have a resource label for spinning and then link both spinning instructors and spinning rooms to it. Of course, a single resource can be linked to multiple resource labels. Even if a resource is included in a resource label, it can still be directly linked to products in the usual manner.
Create a Resource Label
Go to Configuration > Staff and Resources > Resource Labels.
Click “New”.
In the dialog that appears, enter a name for the resource label—choose a name that clearly describes its content or purpose.
Click “OK” to confirm, or click “Cancel” to abort.
Rename a Resource Label
Go to Configuration > Staff and Resources > Resource Labels.
Select the desired resource label and click “Show” or double-click it.
Change the name.
Click “OK” to confirm or “Cancel” to abort the change.
Remove a Resource Label
It is possible to remove a resource label that is currently in use, but we recommend first updating any product resource requirements to an appropriate alternative to avoid bookings that cannot be executed due to unmet resource requirements. If a resource label is removed while still in use, it will also be removed from any products’ resource requirements.
Go to Configuration > Staff and Resources > Resource Labels.
Select the resource label you wish to remove and click the trash can icon.
If the label is in use, a confirmation dialog will inform you.
Click “OK” to confirm the deletion or “Cancel” to abort.
Which Resources Are Included in a Resource Label?
Go to Configuration > Staff and Resources > Resources.
In the “Resource Label” field, select the resource label whose resources you want to see.
Resource Labels for Resource Requirements
Resource labels can simplify the management of a product’s resource requirements by grouping together resources with similar characteristics. Instead of linking each individual resource to a product’s resource requirement, you can specify a resource label. All resources with that label will then be eligible to fulfill the requirement.
Note: Resource labels should not replace directly linked resource requirements where only a few resources can fulfill the requirement and those resources seldom change or are replaced.
Similar Characteristics
Resource labels are particularly useful for products whose resource requirements cannot be met by every resource of a certain type but depend on specific resources. When the number of such individual resources is large and changes frequently, resource labels offer a tool to simplify managing the resource requirement—for example, based on staff expertise.
Example:
Resource labels become most useful when you can determine the smallest common denominator, such as a spinning instructor. If there are many spinning instructors and some are temporary, it is easier to manage them by linking them to a resource label than to update the resource requirement for every product that requires spinning instructors.
Review the resources that should be included in the resource label “Spinninginstruktörer” and link them accordingly.
Then, review the products that will use that resource label (e.g., spinning classes) and update their resource requirements to reference the resource label.
Link a Resource Label to a Resource Requirement
Go to Configuration > Products > Products and search for the product.
Open the “Resource Requirements” tab.
Click the “Paper/Pen” icon next to the “Resource Labels” field.
Choose from the previously registered resource labels. Click a label to highlight it, then click “Add”.
The selected label moves to the right-hand column labeled “Selected”, and its name in the “Select From” column is grayed out.
Close the dialog and confirm by clicking “OK”, or click “Cancel” to abort.
Remove a Resource Label from a Resource Requirement
Go to Configuration > Products > Products and search for the product.
Open the “Resource Requirements” tab.
Click the “Paper/Pen” icon next to the “Resource Labels” field.
In the right-hand column (labeled “Selected”), click the label(s) you wish to remove, then click “Delete”.
The label is removed from the “Selected” column, and its name in the “Select From” column becomes active again.
Close the dialog and confirm by clicking “OK”, or click “Cancel” to abort.
Resource Labels for Customizing Planning Lists
Resource labels can be used to tailor planning lists to your operational needs.
Example:
The bookable rooms at a conference facility might be spread across several buildings. To generate a planning list for cleaning, the list should display which buildings contain rooms that require cleaning. This is achieved by creating one resource label per building and then linking each bookable room in that building to the corresponding resource label.
