Capacity Types
Overview
Configuration → Staff and Resources → Capacity Types.
A capacity type is an alternative way to specify, as part of the resource requirement, a selection criteria for which resources can fulfill the requirement or which products a resource is capable of performing. Unlike resource types, a single resource can have multiple capacity types simultaneously.
Capacity is only meaningful for products that allow multiple simultaneous bookings on a resource. Some resources can be booked by several customers at the same time; for example, a massage room with multiple massage chairs or a theater hall with numerous seats. In these cases, you would first create capacity types such as “Massage chair” or “Seat” and then, when registering the massage room or theater hall as a resource, specify that they contain a certain number of that capacity type. A booking does not need to use capacity details to book a resource; however, a resource must have the correct capacity registered for it to be bookable with a product that utilizes capacities. Capacity is never meaningful for group activities, as these manage their own seating.
Capacity bookings on a resource are indicated in the booking view by a bar that displays green when plenty of capacity remains and turns red when capacity is fully utilized.
Create a Capacity Type
Go to Configuration > Staff and Resources > Capacity Types.
Click the “New” button.
A dialog opens; enter a name that clearly describes the content or purpose of the capacity type.
Click “OK” to confirm, or “Cancel” to abort.
Note: The capacity for each capacity type is registered on the respective resource.
Change name on a Capacity Type
Go to Configuration > Staff and Resources > Capacity Types.
Select the desired capacity type and click “Show” or double-click it.
Change the name as needed.
Click “OK” to confirm or “Cancel” to abort the changes.
Delete a Capacity Type
A capacity type cannot be deleted if it is currently in use on a resource. Remove the capacity type from the resource(s) before attempting to delete it.
Go to Configuration > Staff and Resources > Capacity Types.
Select the capacity type you wish to delete and click “Delete”.
Click “OK” to confirm, or “Cancel” to abort the deletion.
Configuring a Capacity Type
Create a capacity type as described above.
Assign the newly created capacity type to the resource (for example, a staff member) that should be able to deliver a service (e.g., PT Small Group) with multiple participants.
Navigate to Configuration > Staff and resources > Resources.
Click the resource you wish to assign a capacity type to.
In the capacity box, click “+”, select the capacity type you just created, and specify the number (e.g., 3 if you want to allow three participants for the service).
Do this for all resources you want to be able to perform the PT Small Group service, including the facilities you wish to host this service in the future.
Next, go to the service (e.g., PT Small Group) and add the capacity type you created. Under the Resource Requirements tab, add the resources for which you have set capacity requirements.
Click “New”, choose the resource (e.g., Personal), select the capacity type, and check “Can share resource” if multiple bookings can share the resource.
Also, specify which resources should be able to deliver the service via product labels or product competencies. Repeat the same process for the facility resource.
Now, you can book the PT Small Group service in the view. Note that you cannot book it as a group activity; you must book a participant for the service in order for it to appear in the view and for others to be able to book it.
