BRP Back Office > Organizations

Objektet organisation

Organizations are in BRP used as a term for all types of organizations. Examples of organizations are companies, associations and clubs.

Create an organization

  1. BRP Back Office > Organizations

  2. Click on "+ / Create".

  3. Enter information in the desired fields according to the description about the organization, click "OK".

Change information on an organization

  1. BRP Back Office > Organizations

  2. Search by filling in all/part of the name of the relevant organization in the "Search by name" field and clicking "Search".
    If you want to search for more or other properties, click on "Advanced Selection". Select the properties you want to search on and enter the search value. Then click "OK".

  3. Select the organization you want to change or highlight it and click "Show". Change the values ​​you want to change and then click "OK".

  4. In the address, the city can be automatically looked up based on postcode, see Personkortet

Delete an organization

  1. BRP Back Office > Organizations

  2. Search by filling in all/part of the name of the relevant organization in the "Search by name" field and clicking "Search".
    If you want to search for more or other properties, click on "Advanced Selection". Select the properties you want to search on and enter the search value. Then click "OK".

  3. Select the organization you want to delete and click on the trash can icon or "Delete". You will now be asked to confirm the deletion, click "Yes" to confirm, otherwise click "No" to cancel.

Connect persons to an organization

  1. BRP Back Office > Organizations

  2. Search for the relevant organization and select it.

  3. At the "Persons" field there is a list of the people connected to the organization.
    There are also buttons to control which persons are connected to the organization:

    • "+" searches for an existing or creates a new person and connects them to the selected organization.

    • "Trash can" removes a selected person from the organization but does not delete them from the contact register.

Let customers connect to an organization by following a link

This feature is currently in a test phase and is not yet available to configure and start using. This documentation will be updated when it is ready to activate.

This feature allows your customers to connect to an organization in BRP by following a link, instead of adding every person to the organization one by one which can be a bit time consuming for your staff.

If you have agreements with other companies that allow their employees to purchase your products at lower prices, this feature will be particularly useful.

Prerequisites

  • BRP Premium Mobility license is required

  • The organization must be created in BRP

  • Organization - Generate registration URL

    • Needed to be able to generate a URL that can be used by customers to connect to an organization.

  • Organization - View registration URL

    • Needed to be able to view and copy the URL that can be used by customers to connect to an organization.

Configuration

  1. BRP Back Office > Organizations > “Persons” tab

  2. Click on “Generate registration link” button

  1. A new window appears, see image below, where you can enter:

    1. Which web app to use (if there are more than one in the installation). Mandatory

    2. After which date the registration link should no longer be valid. Optional

    3. After which date the organization offer should no longer be valid (if there is an Organization customer type, the user will get this customer type upon registering, and the expiration date of the customer type will be the one you set here). Optional

      1. If the scheduled task “Make updates when price lists and customer types expire” is active and the setting "removeOrganizationOnOrganizationCustomerTypeChange" is enabled, the connection from the person to the organization will be removed after this date, and the customer will no longer get prices from the organization price list.

    4. Which web category the user should be redirected to after registering. Optional - If no web category is selected, the user will be redirected to the Explore page after registration.
      Hidden web categories are possible to select, they will appear in the list.

  1. A new window will appear which gives you the option to copy the registration link.

  1. Information about the registration link can be found on the organization, under the “Persons” tab. The link can be copied and removed.

User Flow

Upon clicking on the link, the user will be asked to log in or create an account:

After a successful login or sign-up, the user will be connected to the organization and redirected to the configured web category (or explore page if no web category was selected when generating the link).

 

If the user is already logged in

The user will get the option to connect to the organization by clicking the “Connect” button.

If the user is already connected to another organization

The user will get the option to replace their current organization with the new one by clicking the “Update” button.

If the user is already connected to the same organization

If the logged in user’s organization matches the organization associated with the link, no action is required. However, the expiration date of the customer type will be updated. This way, you can for example send out a new link once a year to update the customer type expiration date of the persons still belonging to the organization.
