Value Card Product

General Information

A value card entitles the holder to purchase up to a certain value (gift card) or to buy specific types of products (clip card).

Value cards work at all facilities within an installation, regardless of the company.

There are two types of value cards: Clip Cards and Gift Cards.

  1. Clip Card (Single-function voucher)
Johan buys a value card loaded with 10 entries. Each time he passes through the entry control, one clip is deducted from the card.

  2. Gift Card (Single-function or Multi-function voucher, though multi-function is most common for gift cards)
Stina has purchased a value card with a 500 SEK balance for Johan. When he pays for his massage, he uses the value card.

This documentation explains the information needed specifically for value card products. See General Settings for Products for information about products in general.

Requires membership

In order to gain entry, the customer must hold a valid membership in addition to this product.

Report template for automatic printout in register

Used in conjunction with “Electronically Signed Agreements.” The agreement template is linked to this function so that the customer receives a specific agreement to sign when purchasing the product. See the field below for more information.

Contract signed electronically

You can attach an electronic signature requirement for an agreement to a product. This service is an additional option.

Require person connection when bought in customer web

Forces the customer to log in or register to purchase this product.

Requires card/bracelet

Used for Subscriptions, Value Cards, and Entries. If selected, BRP will prompt the user to register a card number on the customer.

Allow Lockers

Used alongside the above setting. If Gantner cards are employed, this grants the customer the right to lock locker types 1 or 2.

Show punches lefter booking

After the customer has booked or utilized a clip, the number of remaining clips on the card is displayed.

May only be booked as part of a package

When selected, this product cannot be booked outside of a package. Applies to the BRP API as well.

Valid (month)

Specifies how long a Value Card remains valid, stated in months.

Type of value card

  • Sum – If the value card carries a monetary balance (e.g., a gift card or credit).

  • Product – If the value card grants a certain number of clips for predetermined products (i.e., a clip card).

Number of units

Used only if the Value Card is of the “Product” type. This sets how many clips the card contains.

Invoice usage

Generally used by companies. These value cards are often called company clip cards. Negative clips accumulate, and the company is then invoiced for the total clips used in a period. For more information, see Company Clip Cards.

Limited to selected products

Used only for Sum-type value cards. It restricts the customer to purchasing only certain products or types of products. (This function is not supported for vending machines.)

Product

Only applicable to Product-type value cards. If multiple products are selected, they must share the same VAT rate. Only these products appear in the list.

Discount product

An item (i.e., a “product”) used to apply a discount when payment is made with a Sum-type value card. The item must have the same VAT category as the value card.

Choose schedule during sales

With schedules, you can further control the validity period of prices. Specify the times when the price list’s prices should apply by “opening” these hours in a schedule. Outside these times, the product’s standard price is used.

Refill existing value card

Used to add funds (or clips) to a previously purchased value card of the same type, instead of creating a new one. The card’s total becomes the old remaining amount/clips plus the new amount/clips. The card’s validity period resets accordingly.

Generate barcode Metra

Metra is an entry system.

Account for emptying value cards

This is found on the “Account” tab of the value card product.

A dedicated account for this purpose. Ask your finance department if you’re unsure. (Mandatory) It must be a revenue account (3XXX) and not used for selling other products.

When a value card expires (its validity period ends) and there is still a remaining balance, you’ll want to remove the customer’s liability.
