Package Product

General Information

A package contains one or more products and forms a new product, referred to as a package product. Package products are used, among other purposes, to offer differentiated pricing.

Product types that can be included in a package:

  • Item

  • Stock Item

  • Service

  • Value Card (gift card or clip card)

  • Entry

The price of a package is formed by adding up the prices of its various products.

If the package spans multiple days, you may need to add the products multiple times—once for each day the product is to be used.

Price List
A package’s price is the sum of its components. To give a package buyer a better deal than the total of the regular prices, you need to create a price list specifically for package pricing, and ensure the products or services in the package refer to this list. Then add that price list here.

Products
Shows which products are included in the package. Click + to add products. See “Package Content Dialog” below for more information.

Max waiting time
Specifies how long a customer might be expected to wait between treatments/products in their package.

Tax coding package
A VAT accounting package is a way to apply a “treatment entry” that charges 6% VAT on part of a treatment that would otherwise be taxed at 25%.

Installment Plans
Click the pencil icon to add an installment plan, if desired.

Product
Select the product to include in the package.

Number of
For each product added, choose either “One” or “One per participant.” This choice affects the package price—see below for more information.

Occurs on Day Number
Enter a positive numeric value (an integer).

Example: If a package spans multiple days (e.g., a spa weekend), and the product is scheduled for the first day, enter 1. For the second day, enter 2, and so on.

Fixed Start Time
Specify a clock time, for example 09:00 for morning coffee service. This field cannot be selected simultaneously with a Relative Start Time.

Relative Start Time
The booking begins at the start time you select in the booking schedule. This field cannot be selected at the same time as a Fixed Start Time.

Associate with
Example: The product “Coffee” is served in a specific room.
If a product booking is linked to a resource, it means the coffee/item is served in that room. If the service booking is moved, the linked product is also moved accordingly.


Registering/Editing Products in a Package Product

  1. Go to Products > Products and search for your package products by selecting “Package” in the “Type:” field.

  2. Select the relevant package from the search results.

  3. Go to the “Package” tab, and click the appropriate icon above the “Products” field (“New,” “Show,” or “Delete”). A “Package Content” dialog window opens.

  4. Add or edit the package contents, then confirm by clicking “OK” or cancel by clicking “Cancel.”

Price of Package Products

  • The Price tab on a package product does not affect the final price; do not use it for pricing. The package’s total price is always the sum of its parts.

  • Because a package’s total price is the sum of the included products’ prices, the prices that form the total must be specified on each individual product.

  • The total can be influenced by how you configure each product when registering the package product (see Quantity below).

  • If the prices for the included products are the same as if those products were sold separately, use the standard price list. If the package should offer a discounted price, create a package price list. See Price Lists for more information.

  • The system setting “Always use package price list” means the package’s price list always applies, even if there might be another price list offering a lower price.

One

One resource/product is booked, but the price is multiplied by the number of participants. Typically used for conference packages where the room cost varies by the number of participants.(If you choose this option for a package sold at checkout, only the package portion’s price is affected when changing the package quantity.)If the included product is an Entry Product that prints a ticket, only one ticket will be printed per product and package.

One per participant

The product is booked as many times as there are participants. If sold at checkout, the number of package components increases or decreases if the package quantity changes.If the product is an Entry Product that prints tickets, one ticket will be printed per product.


Removing a Package Product

  1. Go to Products > Products and search for your package products by selecting “Package” in the “Type:” field.

  2. Select the relevant package from the search results and click the Trashcan icon.

  3. A “Question” dialog appears, asking “Are you sure you want to delete the selected record?”

  4. Click “Yes” to remove the entire package, or “No” to cancel and keep the package.


Booking a Package

A package consists of several other products—for example, a conference room plus one cup of coffee per participant, along with information on when the coffee should be served.

  1. Select the desired start time on a resource that is included in the package, then press “B”.

  2. Search for and select the customer.

  3. Choose the relevant package product and enter the number of participants.

  4. In the next step, you can adjust, for example, the time and the quantity for the coffee service, as well as leave any messages. Then click “Finish.”

  5. The order opens to the right in the booking view.

Package Behavior for Cancellations and Rescheduling

  • If the package is canceled, all its components are also canceled.

  • If you increase or decrease the number of packages, the same happens for the package components.

Example: A conference package is booked for 20 participants. The number of coffees is reduced to 19. Then the number of participants is changed to 19. You now have 19 of all components except coffee, where there are only 18.
