Clip Card for Facility Access

General Information

To grant access rights with a clip card, it must contain a product of the "Entry" type. The card may only include one (1) entry product and no other product types.

When a person swipes a card at the reader, the system first checks whether the person has a valid subscription. If there is no valid subscription, it checks if the person—or the person’s company or the person’s card number—is linked to a clip card. If the person is linked to a clip card, they are granted entry, and one clip is deducted from the card.


Access with a Clip Card

If you want to use clip cards for facility access, ensure that BRP Configuration > Facilities > "Cash Register for Entrance" is set. This cash register unit must be unique to this function and not used for other accounting purposes.

  1. Go to the Entrance View module.

  2. Either the customer swipes their card at the reader or

    • Click the “Manual entrance” button

    • Find the customer, click Next

    • Select card reader and click Complete.

The entry window now displays whether access was OK or Error. In the case of an invalid access attempt, an error message appears.


Undo Admittance with Clip Card

If a clip card holder swipes their card one time too many, and thus one clip too many has been deducted, you can undo the entry to restore the clip to the card:

  1. Go to the Entrance View module.

  2. Select the incorrect entry and click Undo Entry. The clip will be returned to the clip card, and the entry will be displayed as undone in the list.


Priority Order When Multiple Clip Cards Are Available

If several cards could be used for an entry, BRP chooses the card according to these principles: (In the example below, assume the customer has two cards—however, the same logic applies if more than two cards are available.)

Default Behavior

  1. First, the system checks if any of the cards has "Invoice usage" enabled. If so, that card is used.

  2. If neither card has "Invoice usage" the card with the lowest price per clip is used.

  3. If both cards have the same price per clip—or both have "Invoice usage"—the system uses the value card with the shortest validity period.

When the “Use Value Card with the Shortest Validity Period First” Setting Is Enabled

  1. First, the system checks if any of the cards has "Invoice usage" enabled. If so, that card is used.

  2. Then, it checks which value card has the shortest validity period and uses that card.

  3. If neither card has "Invoice usage" and both have the same validity period, the system uses the value card with the lowest price per clip.

Note! “Lowest price per clip” is calculated from the card’s total amount / total number of clips. If the Refill function is used to add more funds or clips to a card, it may seem like the wrong card is being charged—but the final deduction is always correct once the transaction completes.
